I've been the person who orders all the safety equipment for my company for five years now — 400 employees across 3 locations, roughly $120k in annual procurement. I didn't expect to know this much about work boots and smoke detectors. But when you're the one in charge of PPE, you learn fast.
If you're new to buying safety gear, or you've inherited this responsibility from someone who didn't leave notes (it's always that way, isn't it?), here's the exact checklist I use. Six steps, in the order I actually do them.
Step 1: Walk Your Facility Before You Talk to a Vendor
I get why people skip this. It's much easier to call a safety supplier and say "give me the standard package." I did that in 2020, my first year in this role. It was a mistake.
Now I do a 30-minute walk-through of every work area first. I'm looking for real, on-the-ground hazards:
- Floor surfaces: concrete, metal grating, slick spots near machines
- Overhead hazards: falling items, low doorways, mezzanine edges
- Airborne particles: dust, welding fume, chemical vapors
- Noise levels: if people have to shout to be heard, you need hearing protection
- Fire risks: ignition sources, clutter near exits, expired extinguishers
And I always talk to the people doing the work, not just the supervisor. The maintenance lead will tell you which boots actually hold up on your floor faster than any sales rep will. In that first walk-through, I found out a third of our crew was swapping their "approved" boots for older pairs they'd kept because the new ones hurt their feet. That single conversation changed my whole approach to buying PPE.
Step 2: Buy Work Boots That Fit (Don't Skip the Fitting)
Work boots are your biggest PPE expense, and it's the line item companies most often get wrong. You can't just order 40 pairs of red wing steel toe shoes for men off a spreadsheet and call it done.
When people talk about red wing shoes, work boots are the category they're best known for — and for good reason. Goodyear welt construction, replaceable soles, and width options most brands don't offer. But all of that disappears if the boots don't fit.
Here's my process now:
- Set up a fitting session. If you're ordering in volume, Red Wing will send someone to your site with a fit kit. Everyone gets measured — length and width. It's usually free with a real order. Do it.
- Pay attention to width. This is the step people ignore. A standard boot is D width. If someone's an E or EE, the "right" size in a D-width boot will never feel right. Red Wing's width range is one of the reasons they're the standard for work boots — but you have to actually use it.
- Choose the right toe type. Steel toe is the classic, and it's still what we use in the foundry. Composite toe is lighter and doesn't get as cold in winter — it's fine for warehouse staff. Either way, check that it meets ASTM F2413, the impact and compression standard. If a boot doesn't have that rating, it's not a safety boot.
- Order ahead of break-in time. A new pair of boots takes a few days to break in. If you're onboarding new employees, order their boots at least two weeks before their start date so there's time for exchanges.
One more thing: for our security team and some of the younger warehouse crew, Nike tactical boots come up a lot as an alternative. They're lighter and feel more like athletic shoes. And honestly, for light-duty indoor roles, they're fine. I don't fight that preference — as long as the specific model has the right safety rating. But for real industrial work — concrete, steel, heavy parts — a good leather safety boot is still what I'd put my money on.
Don't order "one size up for thick socks" either. That myth cost me a dozen returns in 2022 (yes, I learned this the hard way). Get people measured properly.
Step 3: Pay Attention to What Your Lab Safety Glasses Are Made Of
Safety glasses are cheap compared to boots, so it always surprises me when companies still buy the wrong ones.
Lab safety glasses are a specific category — not just any pair of glasses with a "safety" sticker. Here's what I check:
- ANSI Z87.1 marking. This is the US standard for impact-resistant eye protection. If the lens or frame doesn't say Z87.1, it hasn't been tested. I've seen cheap imports with no marking at all. Don't buy them.
- Anti-fog that actually works. Not "coating that lasts a month." I buy glasses with dual-pane anti-fog lenses or a quality permanent coating. Going from a warm corridor to a cold lab with fogged-up glasses is a real hazard — people can't see.
- Fit-over-prescription options. About 30% of our staff wears prescription glasses. They weren't wearing their old safety glasses because the fit was terrible. We now order a mix of fit-over styles, and compliance jumped noticeably.
- Wall-mounted dispensers near entrances. Not tucked away in a supply closet. Visitors, contractors, and auditors all need glasses. A dispenser with 10 pairs near the entrance costs almost nothing and saves a ton of hassle.
One honesty point: I used to buy the cheapest bulk safety glasses I could find online. They looked the same. They were not the same. The cheap ones scratched within two weeks, fogged constantly, and ended up in the trash. The better ones last a year. Unit price matters less than cost per month of actual use.
Step 4: Fire Alarms — Yes, a Vape Can Set Them Off
Okay, this one is more interesting than it sounds. Because I had to learn it the expensive way.
Can a vape set off a fire alarm? Yes, absolutely. In 2024, we had three false evacuations in two months. Same cause each time: someone vaping in the warehouse bathroom near the smoke detector.
Here's how it works: most commercial smoke detectors are either ionization or photoelectric. Photoelectric detectors shoot a light beam across a sensor cell. When particles scatter the light, the alarm triggers. Vape aerosol is made of tiny liquid droplets that scatter light just like smoke. So a cloud from a vape near a photoelectric detector will set it off. (Fun fact I wish I'd known earlier: this is why hotels have "no vaping in rooms" rules — it's not just about the smell.)
What I did about it:
- Put heat detectors in high-risk spots. For bathrooms and break rooms where vaping can happen, a heat detector is a better choice than a photoelectric smoke detector — it only triggers on rapid temperature rise. Check your local fire code first, and have a licensed contractor do the swap. (Verify current requirements at your local fire marshal's office; codes changed in several states in 2024.)
- Designate vaping areas outside. I was surprised how much a clear policy plus a marked outdoor shelter reduced the problem. We went from three false alarms in two months to zero in the following six.
- Start monthly extinguisher checks. I made it part of the maintenance routine: check gauge, check pin, check inspection tag. My coworker once found a discharged extinguisher sitting in its bracket — nobody had noticed until they needed it. That still keeps me up at night.
Step 5: Don't Forget the Other 80% of PPE
Boots and glasses get the attention, but the rest of the list matters just as much. I use a head-to-toe checklist:
- Hard hats: Go with Type 2 if there's any side-impact risk, not just vertical. The price difference is small, but it's a meaningful safety margin on someone's head.
- Gloves: Check the cut-resistance rating. ANSI/ISEA 105 rates cut resistance from A1 to A9. If your team handles sharp edges or metal, A1 leather gloves are not enough; you need at least A3-A4 cut-resistant liners. Workers complain about them at first — until the first hand injury happens.
- Hearing protection: Look for the NRR (Noise Reduction Rating) number. Disposable foam earplugs are 32-33 NRR, which is excellent. Earmuffs are usually 25-30. If a supplier quotes below 25, ask why. And match the protection to the actual noise level — over-protection makes workers take them off.
- Welding equipment: If you have a fab shop, auto-darkening helmets should meet ANSI Z87.1 plus specific shade standards — shade 10 to 13 for arc welding. And don't buy that $40 mask from a flea market. I know it's a tough budget sell, but your workers' retinas are not the place to save money.
Step 6: Verify the Vendor Before You Place the Order
This is the unglamorous step, but it's what saves your year from becoming a disaster of accounting rejections and late materials.
- Place a small sample order first. One pair of boots, two pairs of glasses, one hard hat. Put them to real use for a month. A $100 sample order is a lot cheaper than a $10,000 order for the wrong product.
- Confirm the invoice format. (This one sounds boring, but trust me.) Does the vendor invoice in the format your finance team needs? Do they use codes your accounting system accepts? One vendor I used couldn't produce a proper invoice, and I had to eat $2,400 in rejected expenses. That still stings.
- Get lead times in writing. I once ordered 80 pairs of boots for a production expansion and the vendor showed up with 20 pairs and no ETA on the rest. A simple confirmation email with delivery dates would have exposed the problem before I committed.
- Ask for warranty terms in writing. Red Wing boots carry a warranty, but the terms vary by model. I ask for the warranty sheet as part of the quote, not after someone's boot fails. Sometimes there's a registration window you can easily miss.
Bottom line: a vendor that passes these four checks is worth keeping.
Mistakes I've Made So You Don't Have To
Three things, in order of how much they cost me:
- "Cheapest is fine." In 2023, I saved about $300 by picking a budget boot brand over our usual supplier. It looked smart on paper. Six weeks later, two pairs had separated soles, and one maintenance tech had foot pain that turned into a workers' comp record. Total cost: about $3,400. Saved: $300. The phrase "penny wise, pound foolish" exists for a reason.
- Trusting a sales rep on fit. Nobody in a store can fit 50 people's boots, and no sales rep knows your floor like the people who stand on it for 8 hours a day. Do the walk-through. Ask the workers.
- Ignoring the vape problem. I thought "how much damage can a vape do?" Three evacuations and one very unhappy client visit later, I had my answer. That client still jokes about it — says we gave them an unexpected fire drill. It's funny now. It wasn't then.
One thing I look back on with relief: in late 2024, I got pressure to switch to the lowest-bid PPE supplier. It would've saved around $8,000 a year. I stuck with our current vendor anyway, mostly because they were the ones who'd handled our fit sessions and answered all my annoying questions. Then in December, a break-room toaster fire happened at one of our locations. The extinguisher worked. The smoke alarm worked. Damage was a melted appliance and a smoky countertop. That could have been a very different story.
That's the whole checklist. It's not glamorous, but it works — and it's saved us more times than I can count.
